Light Up the North Digital Conference 2020 – Tech Brief

Light Up the North (LUTN) brings together six light festivals across the North of England that work on a range of strategic initiatives. Launched in 2014, our vision is for LUTN to be recognised nationally and internationally as an exemplar of partnership working and as a centre of excellence and best practice for creativity in light art.
Light Up the North Conference 2020
LUTN will be hosting their first online conference taking place Weds 9 to Thurs 10 December. The aim of the conference is toshare our collective expertise with practitioners, festival producers, curators, local authorities, funders and other interested parties, creating a strong narrative to further advance the light festival sector, supporting the development of artists, production staff, programmers and technical innovations. This will be our third Light Up the North network conference and our first online and we need your support to successfully deliver the event.
We anticipate between 80 and 120 delegates both from the UK and internationally (maximum). The two days will comprise eight themed sessions of an hour each plus an evening social on the first evening. The LUTN Chair will have an overall MC role and each hour session will be led by a LUTN Steering Group member. There will be multiple different types of live content including panel discussions, artist talks, Q&As, live speakers, online premieres, a social element (cocktail lounge) on the first evening and a range of supporting pre-recorded content to be integrated into the conference programme and hosted on the LUTN website. The conference will be in English only and we will hire a sign language interpreter.
Tech Support for LUTN Digital Conference
We are looking for technical support (team or individual) to manage the digital side of the conference from registration, planning and managing all aspects of the conference technical aspects, through to evaluation. You will manage all the technical aspects of the conference, working in conjunction with the LUTN Programme Manager who is managing the conference overall.
Key aspects of the brief include:
In advance of the conference
- Advise on technical registration for delegates
- Produce technical guidelines for joining the event and how to best use the tech for delegates
- Create guidelines to support speakers who are creating content for the event
- Liaise with all live speakers to support their session
- Suggest, agree and manage the best technical platform for the conference
- Plan and implement all technical support required to deliver the conference programme being produced by LUTN
- Ensure that the conference is well designed, visually appealing and LUTN branded
- Ensure accessibility is integrated into the tech
- Collate and test all pre-recorded content provided by LUTN
- Ensure there is enough back up content (to be provided by LUTN) in place to use in case of any unforeseen issues during the live conference
- Ensure suitable privacy and encryption is in place
Live support on both days
- Ensure all delegates and speakers are able to access the conference
- Manage all the technical support on both days including liaising with the leads on each conference section, managing incoming questions etc
- Live trouble shoot any technical hitches
Post event
- Adapting relevant conference footage to be uploaded to the LUTN website
- Forwarding agreed evaluation information to LUTN (numbers of participants for each conference session etc)

– confirmation of you/ your team’s availability on both conference days – 9 and 10 December
